Position Description Performs responsible and complex duties associated with a specialized function of a section of clerical employees. Duties may be generally described as: planning, assigning, coordinating, directing, scheduling, evaluating, verifying, training, and processing of information. A thorough knowledge of policies, procedures, and methods for the area of responsibility is required. Initiative and independent judgments are frequently exercised in formulating procedures or methods, and in program coordination. Work is performed under general supervision within University policies and procedures. Job performance is based upon overall operation effectiveness.

Major/Essential Functions The College of Media & Communication at Texas Tech University is seeking a full-time Sr. Business Assistant for our Development Office. The Sr. Business Assistant will be responsible for covering the following essential duties:

Assists the Associate Dean for Undergraduate Affairs as the point person for college scholarships:

  • Helps coordinate the scholarship committee and committee meetings

  • Prepares award materials, award scholarships, and track awards in the Scholarship Tracking System

  • Collects, edits, and submits donor thank you letters

  • Tracks all scholarships and scholarship recipients to ensure the student meets the scholarship criteria and completes all requirements

  • Plans the annual scholarship event

  • Assists students with all scholarship questions

Provides administrative support to the Director of Development:

  • Makes travel arrangements and submits travel applications and vouchers

  • Prepares donor correspondence (thank you letters, birthday cards, scholarship stewardship pieces)

  • Accounting and Gifts: submits gift transmittal forms, gift agreements, and establishes new accounts

  • Tracks donor information in the Advance system (updating biographical information, requesting lists, etc.)

  • Establishes and builds relationships with a wide range of alumni, maintaining regular contact via phone, email, and printed materials

  • Plans and assists with the annual National Advisory Board meeting and the Outstanding Alumni Awards Dinner

  • Assists with Kappa Tau Alpha (KTA) yearly awards ceremony

Required Qualifications A minimum of a high school diploma or the equivalent. Three years progressively responsible clerical experience. Additional education and/or related experience to equal three years may substitute on a year for year basis.

Preferred Qualifications

  • Ability to manage multiple tasks

  • Trained or willing to be trained on the Advancement Technology Systems Database

  • Trained or willing to be trained in the Scholarship Tracking System

  • Excellent written and oral communication skills

  • Excellent organizational skills and time management skills

  • Respectful, cooperative, and effective in getting along with a diverse group of employees, faculty, and clients

  • Ability to be a great team player to anticipate the needs of the office

  • Excellent word processing abilities and knowledgeable in the use of MS Office to include MS Outlook; MS Word; and MS Excel

  • 3-5 years office experience

Pay Statement Compensation is commensurate upon the qualifications of the individual selected and budgetary guidelines of the hiring department, as well as, the institutional pay plan. For additional information, please reference the institutional pay plan on the Human Resources webpage.
