We are seeking a project administrative assistant to support our construction project management team by performing a variety of technical, analytical and administrative duties. The ideal candidate will be experienced in handling a wide range of tasks and the exhibit the ability to interact with a variety of staff at all levels in an ever-changing environment, remaining flexible, resourceful, proactive and efficient with a high level of professionalism and confidentiality at all times. In this role, you will oversee tasks delegated to you by the Project Coordinator, correspond with all necessary vendors and service providers, and generally help to ensure that the project is moving forward on budget. You will need to be highly organized, adaptable, and able to prioritize tasks while working independently.

  • Work directly with the Project Coordinator and provide general support to the Project Management team to maximize productivity

  • Prepare reports for budget updates, invoice review, and executive summaries documenting progress.

  • Serve as a designated contact for vendors and contractors to facilitate with payment queries and prepare, organize, and distribute all necessary project materials

  • Review all incoming invoices for proper documentation, submit to AP with proper coding, update project budgets, and maintain records

  • Perform routine audits on budgets to monitor the accuracy of reporting and help ensure resources are used efficiently

  • File and maintain written records along with electronic records in the document control database

  • Coordinate with other departments as needed to resolve reporting discrepancies, confirm accurate understanding of regulations, and share information as needed; especially with tax, legal, and finance

  • Monitor all moving parts of the project keeping them synchronized and moving forward

  • Communicate pertinent information between management and staff

  • Handles standard administrative duties of the office such as: ordering supplies, directing calls, assisting new employees, research, prepare shipments, distribute mail, and other clerical tasks as assigned

  • Attend periodic project management meetings and take notes

  • Proof outgoing material to ensure for accurate information

  • Identify the need and assist with creating and revising departmental policies and procedures by analyzing operating practices, recordkeeping systems, forms control, and budgetary and personnel requirements

Required Knowledge, Skills & Abilities:

  • Candidate must have excellent computer skills and be proficient with Microsoft Office especially Excel, Outlook and Word.

  • Keen attention to detail is critical for this position

  • Outstanding organizational skills and ability to prioritize and perform tasks with speed and accuracy to work in a busy office environment

  • Exceptional written, oral, and interpersonal communication skills

  • Ability and willingness to perform concurrent multiple tasks, sometime outside the general scope of the position

  • Able to proactively address potential issues and demonstrates an aptitude for problem solving

  • Illustrates the ability to work both independently with little supervision and to work collaboratively with a positive team-player attitude

Education & Experience:

  • Associates/Bachelor’s Degree in a relevant field

  • 2 – 5 years’ experience in an administrative role depending on education completed


  • High School Diploma/GED

  • Minimum 7 years’ experience in an administrative role in related industry


  • Work experience in construction industry is strongly desired

  • Additional certifications that exemplify a desire for continued education and/or career advancement

  • Familiar with basic accounting terms and principals

  • Knowledge of basic sales tax and tax exemption applications
