Overview & Responsibilities
The Administrative Assistant’s primary focus will be to provide assistance to the team with an emphasis on the Managing Director and Director level. This will include general day-to-day support as well as assisting with special projects, research, report production and resolving problems. In a broader sense, this position will support the entire team. The Administrative Assistant will be responsible for managing such things as supplies and office equipment on behalf of the general team. This position will also schedule staff meetings and other team related functions.
60% Management Administrative Support
Assists with research and analysis of budget, time and attendance or other information regarding the team.
Responsible for producing a wide variety of departmental and organizational level reports.
Researches, organizes, and compiles information for specialized reports.
May provide assistance with the coordination of program and or project activities.
Schedules meetings, file, make copies, arrange travel and complete expense reports for the Managing Directors and Directors.
Prepares documents, reports, or other material for department in a timely manner, using Word, Excel and Power Point.
Proofreads and edits documents for spelling and grammar.
Provides logistical support such as room reservations, ordering food, etc.
Assists with coordination of special events.
Assists on short-term "special projects" as assigned by the Managing Director and Director.
Serves as department contact and resource for clients and vendors.
Regularly works with or provides confidential information, exercises discretion concerning its dissemination.
Screens and distributes mail, organizes & maintains files.
Refers customer to appropriate contact and follows up to make sure the problem is resolved.
Produces a variety of complex documents, reports or proposals for the department.
40% Staff Administrative Support
Maintains office and kitchenette supplies as well as fax machines, copiers and network printers positioned for general use within the team
Participates on Shared Responsibility Teams to achieve broader organizational goals and improve the cost effectiveness of the team as needed.
Core member of the PMO and HMIS team that works to improve business process and best practices across the corporate office.
Requirements & Qualifications
High school degree or GED equivalent
An Associates or Bachelor degree is a preferred
5 + years of business experience as an administrative assistant and/or secretary
Previous experience supporting a large staff and the ability to communicate and work with senior management is required
Funeral industry experience would also be a plus
Knowledge, Skills & Abilities:
Knowledge of general office procedures and advanced word processing, advanced proofreading, editing, data entry, and proficiency with spreadsheets
Strong focus on customer service
Ability to work effectively as a team member
Strong communication skills, in person and over the phone
Ability to perform multiple tasks simultaneously, knows when to ask for direction and when to involvement Managing Director and Director
Ability to meet deadlines
Attention to detail
Shares knowledge with associates, may provide supervision to student or temporary workers
General bookkeeping and strong organizational skills
Professional demeanor both over the phone and in person
Proficient technical skills including word processing (MS Word), editing, spreadsheets (MS Excel) and PowerPoint presentation skills is a must
Ability to learn independently and to translate knowledge into sound office practices
Ability to take initiative to ensure deadlines are met
Excellent organizational skills
